Delete your ViviMail account
ViviMail is provided by Viviron Ltd. Use this form to request deletion of your ViviMail account and associated personal data. You do not need to sign in or install the app. Submitting a request does not immediately delete anything.
Request account deletion
What happens next
Our privacy team reviews your request and contacts you. Before deleting an account, we verify identity through a trusted address already held on the account or an independent support verification process. Providing an email address in this form is not proof of ownership. If you have lost access, contact hello@vivimail.co.uk for help. We will never ask for your password.
We normally complete account-deletion requests within one calendar month, subject to identity verification and lawful exceptions. We will explain any identity checks, organisation ownership steps, applicable exceptions or additional time needed, and confirm the outcome by email. Deletion is handled by staff; submitting this form does not cancel an organisation’s subscription.
What deletion covers
We remove or anonymise the account name, email address, password and recovery email, remove sign-in factors, account tokens, mailbox access, personal mailbox settings and organisation memberships, disable the account and revoke active sessions. Staff review other associated data and service-provider records before confirming completion. A pseudonymous account identifier remains where needed to preserve record references.
Records that may remain
Some records are retained for the purposes and periods below. Any longer retention must have a documented lawful reason and review date.
| Data | Reason | Retention |
|---|---|---|
| Invoices, payments and accounting records | Tax and accounting obligations | Six years after the end of the relevant financial year. |
| Security, audit, session and delivery records | Security, fraud prevention and accountability | Security and audit database records: two years. Delivery metadata: 30 days. Historical session records are reviewed individually during deletion; no fixed expiry has yet been verified. Other application and mail logs rotate by size; a fixed maximum retention period has not yet been verified. |
| Privacy request, contact details and verification record | Respond to your request and demonstrate how it was handled | 12 months after the request is completed, then automatically deleted, unless a documented lawful exception requires longer retention. |
| Backup copies | Recovery from service failures | Recognised backup archives on the ViviMail server expire automatically within 30 days. Additional copies are kept in cloud storage; their expiry settings are under review and no maximum lifetime has yet been confirmed. Deleted data may remain in those copies until they expire or are removed. Contact hello@vivimail.co.uk for the retention position relevant to your request. |
See also the ViviMail Privacy Policy. We will explain any specific lawful retention exception when handling your request.
Organisation-managed mailboxes
Your employer or other organisation controls its mailboxes, messages, attachments and shared email service. Deleting your personal ViviMail account removes your access; it does not authorise deletion of the organisation’s mailboxes or service. Ask the organisation’s administrator about mailbox content and its retention policy. We can help route your request.
If you are an organisation’s only owner, staff must arrange a transfer to another authorised owner or a separately authorised organisation closure before erasing your account. A personal deletion request cannot delete the organisation’s entire email service. Cancellation alone does not automatically erase organisation data after 90 days.
Other ways to request deletion
In the ViviMail dashboard, open Account Security → Your data → Request deletion. You can also email hello@vivimail.co.uk. Include your ViviMail account email address and a contact address. The same identity checks apply.
Removing an account from a device or uninstalling ViviMail does not request server-side account deletion. Email accounts supplied by other providers must be deleted through those providers.
