Set up business email on your own domain
Turn a domain you own into professional addresses such as hello@yourcompany.co.uk. ViviMail hosts the mailboxes, provides webmail and connects to the email apps you already use, with UK hosting from £9.99 per company per month.
What you need before you start
- A domain you own or have permission to manage. Email hosting and domain registration are separate services.
- Access to the domain's DNS settings, which may be managed by your registrar, website host or a provider such as Cloudflare.
- A list of addresses you need, and a decision about which need separate inboxes.
- If you already receive email on the domain, access to your current provider and a plan for preserving existing messages.
You can keep your existing website. Email DNS records control email delivery; your website's records serve a different purpose. Review the instructions carefully and avoid changing unrelated records.
How ViviMail domain setup works
- Create your account. Choose a hosting plan, confirm your email and set up the required two-step verification.
- Add and verify your domain. Enter your domain in the dashboard and add the ownership-verification record it supplies. ViviMail checks the record.
- Create your mailboxes. Set up individual addresses, allocate shared company storage and add aliases where an extra inbox is unnecessary.
- Configure email delivery and authentication. Follow the current dashboard instructions for your domain's MX, SPF, DKIM and DMARC records.
- Connect and check your devices. Sign in to webmail or configure an email client with an individual app password. Test sending and receiving before considering the move complete.
DNS updates take time to become visible because resolvers cache records. Follow the dashboard checks rather than assuming a change has taken effect immediately. Cloudflare-assisted DNS setup is live, and manual DNS setup remains available. See the roadmap.
MX records and SPF, DKIM and DMARC setup
- MX: where incoming mail goes
- MX records tell other mail servers which provider should receive messages for your domain. Changing them affects new incoming email.
- SPF: which services can send
- SPF describes authorised senders. If other services send mail for your domain, account for them when reviewing your SPF configuration rather than adding conflicting records.
- DKIM: a signature on outgoing mail
- ViviMail signs outgoing messages. The domain's published DKIM record lets receiving providers verify the signature.
- DMARC: policy and alignment
- DMARC builds on SPF and DKIM to tell receivers how to handle mail that fails authentication alignment, and can provide reports. A strict policy needs careful planning if several services send for your domain.
Use the exact values shown for your domain in ViviMail. Authentication helps receiving providers assess legitimate messages, but does not guarantee inbox placement. See our security overview for more context.
Email migration: transfer email hosting with a plan
Connecting a domain does not automatically move old email. Before changing MX records, record your current setup, create the destination mailboxes and keep copies of important messages. Keep the old service available while you verify new delivery and arrange any remaining transfer.
ViviMail's automated IMAP migration feature is live. It copies folders and messages while leaving originals in place. Ask about compatibility with your existing provider before you schedule a switch. Contacts can be imported separately using CSV or vCard.
Looking for an email migration service?
Move your business email, including messages and contacts, without starting from scratch: plan a mailbox copy and a separate contact import. ViviMail's automated IMAP message-copying feature is live. You can check source-provider compatibility with us before arranging a move. Contacts can be imported from CSV or vCard exports; they are not copied by IMAP migration.
Verpex, Hostinger or GoDaddy email migration
Planning a Verpex email migration, Hostinger email migration or GoDaddy email migration? Tell us the exact email product you use, how many mailboxes you have and how much data you need to move. A provider's brand name alone does not establish compatibility: we need to check your account's IMAP access and authentication requirements before confirming whether ViviMail's migration feature is suitable.
How do I migrate cPanel email?
For a cPanel to IMAP migration, first collect the source mailbox addresses, IMAP connection details and storage requirements. Create the destination mailboxes and keep the original service available while messages are copied and checked. ViviMail's IMAP migration feature is live. If you have a cPanel backup, our team can also import it into your ViviMail mailboxes on request; this is run by ViviMail staff, not self-service, and DNS changes stay with you. Contact us to arrange it. Review the current roadmap and check source-provider compatibility before changing delivery records.
Can I move email without losing messages?
The aim is to preserve your existing correspondence, not start with empty inboxes. Keep independent copies of important email, leave source messages in place and compare folders and message coverage after copying. New mail can still reach the old provider during DNS changes, so plan a final check for messages received during the switch. No migration should be treated as a blanket guarantee against data loss. Export contacts separately and verify their import too.
Use your new address on phone and desktop
Read mail in ViviMail webmail or add your ViviMail mailbox to Outlook, Apple Mail, Thunderbird or the Gmail app using encrypted IMAP and SMTP. Create a separate app password for each device so you can revoke one device's access without replacing every password.
The free ViviMail Android app supports ViviMail-hosted mailboxes. Connecting a ViviMail mailbox to the Gmail app is different from connecting a Gmail account to ViviMail's app; the latter is not currently supported.
