Business email for your whole team
Give people their own business email accounts and bring company addresses such as sales@ and support@ into shared team inboxes. ViviMail's team email hosting uses one monthly company price, with defined mailbox and shared storage allowances.
Multiple users, mailboxes and aliases: what to count
A person, a mailbox and an email address are not always the same thing. When planning business email with multiple users, count the separate inboxes you need, including company inboxes, rather than counting only employees.
- Individual mailbox: a separate inbox such as alex@yourcompany.co.uk, with its own storage allocation.
- Shared team inbox: a company mailbox such as support@, assigned to the teammates who need access. Include the underlying mailbox in your mailbox total.
- Alias: an extra address that delivers into a mailbox. It does not create a separate inbox or use a mailbox slot. Up to 1,000 aliases are included per company.
For example, five people with five individual inboxes and one separate support inbox need six mailboxes. If info@ simply delivers into an existing inbox, it can be an alias instead of a seventh mailbox.
Shared inboxes with clear permissions
Shared team inboxes are live. Assign read-only or read-and-reply access to hello@, sales@ or support@, and see named read and reply activity in ViviMail. Give access to the people who need it rather than passing a shared password around the team.
Assigned shared inboxes are also available in the ViviMail Android app. Shared contacts help colleagues work with the same contact information; contacts can be imported from CSV or vCard files.
Email costs for 5, 10, 20 and 30 people
These examples assume one individual mailbox per person and no additional company mailboxes. Add any separate shared inboxes to your count. The storage shown is the whole company's allowance, not an allowance for each person.
| People / mailboxes | Plan | Company cost | Effective cost per mailbox | Shared storage |
|---|---|---|---|---|
| 5 | Starter | £9.99/month | About £2.00/month | 30 GB |
| 10 | Starter | £9.99/month | About £1.00/month | 30 GB |
| 20 | Business | £14.99/month | About £0.75/month | 50 GB |
| 30 | Business | £14.99/month | About £0.50/month | 50 GB |
A team of 30 people that also needs a separate support mailbox has 31 mailboxes and needs Pro, which includes up to 50 mailboxes and 100 GB for £19.99 per month. A smaller team can also need Pro if its total storage exceeds 50 GB. Use the pricing calculator for both requirements.
No VAT is currently added. Starter is free for 14 days, then £9.99/month. Business and Pro cost £1 total for the first 30 days, then £14.99 and £19.99/month respectively. A card is required; offers are for new customers, once per company and payment card. Plans renew automatically unless cancelled. See pricing and offer details.
Security for a team, not just one inbox
Every ViviMail account requires two-step verification, with passkey support. Email apps can't ask for a two-step code, so they use individually revocable app passwords instead. Mailboxes are stored in the UK, incoming mail is filtered for spam and viruses, and outgoing mail is signed with DKIM. Read our security overview or the Security & Trust page for customer separation, personal mailbox privacy, staff access controls and SPF/DMARC setup guidance.
Bring your domain and existing email
You can keep your existing domain and website while changing email hosting. Automated IMAP migration is live and copies messages and folders while leaving originals in place. If your email is on a cPanel host, our team can also import a cPanel backup for you on request. Import contacts separately using CSV or vCard. Plan the DNS change, confirm your source provider's compatibility and check the copied messages before retiring the old service.
Cloudflare DNS setup is live, with record review and approval; manual DNS setup remains available. Our domain and migration guide explains how to prepare.
When team email hosting is the right fit
ViviMail suits organisations that want multiple business email accounts, shared inboxes and predictable company pricing. Use webmail or compatible clients such as Outlook, Apple Mail, Thunderbird and the Gmail app. It is an email platform; document editing, video meetings and third-party app licences are separate requirements.
ViviMail is a product of Viviron Ltd. Tell us your mailbox count, storage needs and current provider if you would like to discuss your setup.
