Account protection
Only the right people get in
Every ViviMail account is protected by more than a password, and every device that connects has its own credentials you can switch off at any time.
Two-step verification
Signing in to your ViviMail account takes a second step: a code from an authenticator app or a passkey, with recovery codes kept safely as a backup.
Passkey sign-in
Sign in with your fingerprint, face or device PIN instead of typing a password. Passkeys are tied to ViviMail, so they resist phishing sites.
Suspicious sign-in protection
Repeated failed sign-ins are slowed down and then blocked for a while, and our team is alerted to password-guessing on webmail and email apps.
A password for each device
Outlook, Apple Mail and other email apps connect with their own app password. Lost a phone? Revoke its password without affecting anything else. Website forms can get send-only passwords.
Sessions you control
See where your account is signed in and sign out any device you don't recognise. Sessions also end on their own after a period of inactivity.
Private mailboxes
Each person's mailbox is theirs. Company admins manage mailboxes but can't read them. If access is genuinely needed, it is requested, read-only, time-limited and every message opened is recorded.
Email threat protection
Threats stopped before they reach your inbox
Every message is checked on its way in and out, so your team sees fewer threats and your domain keeps a good reputation.
Spam and phishing filtering
Incoming mail is analysed for spam and phishing before it reaches you, with suspicious messages held back or sent to Junk.
Malware scanning
Messages and attachments are scanned for viruses and malware, so harmful files are stopped at the server.
Spoofing protection
Mail that fails the sender domain's own authentication policy (DMARC) is rejected or flagged, and ViviMail mailboxes can't be used to send as someone else's domain.
Signed and authenticated mail
Outgoing mail from your domain is signed with DKIM, and setup guides you through SPF and DMARC, so receiving providers can trust that it's really from you.
Encrypted connections
Webmail, the ViviMail App and email apps connect over TLS, and mail to other providers is encrypted whenever they support it. Our own domain also enforces encrypted delivery with MTA-STS and DANE.
Abuse prevention and monitoring
Sending limits and automated checks every 10 minutes watch for password guessing, unusual sending and attacks on the website, and alert our team so problems are dealt with quickly.
Remote images in emails stay hidden until you choose to show them, which stops many tracking pixels. TLS protects email while it travels between devices and servers; it is not end-to-end encryption.
Professionally managed infrastructure
We run the email platform, so you don't have to
ViviMail is an independently operated email platform, built and run by Viviron Ltd. The mail servers, filtering, certificates and updates are looked after for you.
UK mailbox storage
Mailboxes are stored on our servers in a UK data centre in Portsmouth. Website and webmail traffic is delivered through Cloudflare's network, which also protects it from attacks.
Restricted server access
Server administration is only possible over a private network, and any change to server access or firewall settings raises an alert.
Every company kept apart
Each customer organisation is separated from the others by the database itself, not just by the application.
Continuous monitoring
Automated health and security checks run every 10 minutes, with alerts to our team and a daily report.
Daily backups
Mailboxes, the database and configuration are backed up automatically every day, and backups are kept for 30 days.
Accountable support access
If our team needs to look into your account to fix a problem, access needs a recorded reason, is time-limited and is logged.
Your business, your email
Professional email that stays under your control
Addresses on your own domain
Use addresses like hello@yourcompany.co.uk. Your domain stays registered where it is; you add the records ViviMail shows you, or approve them in one step if your domain uses Cloudflare.
Everything in one place
Create mailboxes, shared inboxes and free aliases, share your company's storage between them and manage your team from one dashboard.
Clear company pricing
One monthly price for the whole company, from £9.99, rather than per employee. See plans and prices.
Bring your email, take your email
Copy existing mail across with the built-in IMAP migration; for cPanel hosting, our team can import from a backup. Your email is always yours: export it with any IMAP email app, and contacts as CSV or vCard.

Questions and answers
Common questions
Who operates ViviMail?
ViviMail is developed and operated by Viviron Ltd, a company registered in England and Wales (company number 16534437), with its registered office at 71-75 Shelton Street, Covent Garden, London, WC2H 9JQ.
How is my account protected?
Your ViviMail account uses two-step verification with an authenticator app or a passkey, and repeated failed sign-ins are blocked. Email apps such as Outlook and Apple Mail connect with their own app passwords, one per device, which you can revoke at any time.
Can I use my own business domain?
Yes. ViviMail is built for addresses on your own domain. Your domain stays with your current registrar; the dashboard shows exactly which DNS records to add, and if your domain uses Cloudflare you can review and approve them in one step.
Can I migrate my existing email?
Yes. The built-in IMAP migration copies your messages and folders from your old provider and leaves the originals in place. You can import contacts from CSV or vCard files, and if you're moving from cPanel hosting our team can import from a cPanel backup. See moving email to your domain.
What happens to my data if I cancel?
Your plan continues until the end of the period you've paid for. After that your organisation is restricted and your data is kept for 90 days, so you can export it or restart your plan; it is then deleted. Full details are in our terms and privacy policy.
How do I contact support?
Email hello@vivimail.co.uk. For security vulnerabilities use security@vivimail.co.uk, and for spam or abuse abuse@vivimail.co.uk.
Can I use ViviMail on my phone?
Yes. The free ViviMail App for Android is on Google Play. On iPhone and iPad, add your mailbox to Apple Mail or another email app with an app password, or use ViviMail webmail in Safari.
